TERMS & CONDITIONS
Provisional Bookings
→ Provisional bookings can be made by telephone or e-mail
→ Provisional bookings will be held for a maximum of 3 days. Any bookings not confirmedwithin 3 days may be released without notice. All bookings are provisional until writtenconfirmation (and purchase order, if applicable) is received. Once written confirmation hasbeen received it is given that these terms & conditions have been accepted.
Confirmation of Bookings
Bookings will be confirmed after the provision of the following information:
→ 50% advance payment for booking
→ Date(s) of the booking
→ Estimated number of delegates/guests
→ Lunch and refreshment requirements (Choice of Menu)
→ Equipment requirements
→ Any additional requests
→ Invoice address with GST
Final Numbers & Requirements
Notification of the exact numbers and specific requirements must be provided in writing as early as possible, and no later than 2 working days prior to the start of the event, a reduction in numbers received within the 2 working days prior to the start of the event cannot be accepted, and non-arrivals will be charged as quoted. Any additions to the confirmed numbers will be charged prorata.
Minimum 25 PAX required for conference room booking on per plate basis.
For Booking below 25 PAX, additional conference room renting charges will be levied.
Change of Date
Whilst every effort will be made to accommodate changes in date, the provision of rooms, equipment and other requirements cannot be guaranteed.
Payment, Cancellation and Refund Policy
→ Advance payment for booking the conference room will not be refunded.
→ Cheque will not be accepted at final settlement
→ Cancellations must be confirmed in writing. The following cancellation charges will apply:
- ⇒ Less than 48 hours before event date - 100% of total estimated charges
- ⇒ Less than 72 hours before event date - 50% of total estimated charges
*Conference room and per PAX menu charges mentioned are applicable till 31/12/2020
Damage
→ The client must inform the hotel staff of any damage caused to the Meeting and Conference rooms (including contents, furnishings, fittings, sound and light equipment and any other equipment on hire or situated at either site) by the client and/or their guests, employees or agents.
→ The client will take sole responsibility of any damage done the to the property/equipment by the client/guests provided by the hotel
Alcohol
As per the State Government laws, sale and consumption of alcohol is prohibited. The client declares that, they or their guests shall not consume liquor in the hotel premises as per the Bihar Excise (Amendment) Act, 2016. If found guilty of any offense related to the above Act, the sole responsibility lies upon the client andthe clients’ guests/visitors.
